Overview

Position Summary:
The  Benefits Specialist  is responsible for the administration, coordination, and execution of the company’s employee benefits programs. This role provides direct support to employees, ensures compliance with regulatory requirements, oversees annual Open Enrollment, and manages relationships with vendors and internal stakeholders. The ideal candidate will have strong operational knowledge of U.S. benefits, exceptional attention to detail, and a proactive, service-oriented approach.

 

Key Responsibilities:

 

General Administration & Compliance

  • Maintain accurate benefits data and support the day-to-day administration of health, welfare, and retirement plans.
  • Manage QMCSO processing in compliance with federal requirements.
  • Prepare and manage purchase orders related to benefits vendors.
  • Assist with compliance-related reporting such as 5500 filings, SARs, NDT testing, and benefits audits.
  • Conduct system audits between payroll (ADP) and vendor systems (e.g., Fidelity) to ensure accuracy and resolve discrepancies.
  • Track and report on benefits plan utilization and participation metrics.
  • Manage and reconcile monthly benefits billing statements from vendors; ensure timely and accurate payment processing.
  • Ensure all benefits programs adhere to federal, state, and local regulations through regular audits, compliance testing, and necessary filings, with a keen focus on specific legal frameworks like ERISA.

Annual Open Enrollment (OE)

  • Project manage U.S. Open Enrollment including timelines, testing, vendor coordination, and system readiness.
  • Ensure accuracy of plan setup, eligibility files, and rate updates across ADP and carrier platforms.
  • Assist in the preparation and distribution of benefits communication materials, such as benefits guides, enrollment packets, and informational emails.
  • Provide employee support during the enrollment window and conduct post-OE reconciliation and audits.

Employee Support & Communication

  • Provide support to employees regarding their benefits, answering questions, and resolving issues in a timely and professional manner.
  • Review and approve employee benefit elections related to new hires, qualifying life events, and open enrollment.
  • Send timely election reminders and track benefit actions.
  • Play a key role in the development and execution of the firm’s wellness strategy, promoting employee health and well-being through targeted programs and initiatives that support a diverse workforce

Eligibility & Data Integrity

  • Identify and resolve eligibility file errors between HRIS and benefits providers.
  • Conduct dependent eligibility audits and ensure accurate documentation.
  • Monitor and process Evidence of Insurability (EOI) applications for supplemental coverage.
  • Review and process payroll feedback files for deduction and coverage alignment. 

System & Self-Service Support

  • Provide guidance and support for employees using ADP Workforce Now for benefits enrollment and changes.
  • Educate employees using carrier websites and mobile apps for claims, ID cards, and other services.
  • Maintain and update benefits content on internal intranet pages.
  • Promote and enable self-service tools to streamline employee engagement and reduce administrative burden.

 

Qualifications:

Required:

  • Minimum of 5 years of experience in benefits administration or a similar role
  • Strong knowledge of health and welfare benefits, 401(k) plan administration, and compliance regulations (ERISA, ACA, HIPAA)
  • Experience using HRIS systems (preferably ADP Workforce Now)
  • Excellent attention to detail and data accuracy
  • Strong interpersonal and communication skills
  • Ability to manage multiple priorities and meet deadlines

Preferred:

  • Experience supporting large-scale Open Enrollment events
  • Familiarity with vendor portals (e.g. insurance carriers)
  • Understanding of benefit plan audits and 5500 filings
  • HR certification (e.g., CEBS, PHR, SHRM-CP) is a plus

Location: This position is primarily on-site at our headquarters located at: 9780 Pyramid Court, Englewood, CO 80112

  • Regular in-person attendance is required Monday through Thursday
  • Friday is an optional remote workday

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 15 pounds at times
  • Must be able to access and navigate each department at the organization’s facilities

Min Salary

USD $80,000.00/Yr.

Max Salary

USD $110,000.00/Yr.
